Receptionist – Plano, TX

This position is responsible for handling incoming telephone calls, welcoming visitors, and coordinating conference room reservations. The Receptionist will also support the Office Managing partner in handling facilities issues, as well as, ordering supplies, setting up conference rooms and other responsibilities as assigned. The ideal candidate will possess superb organizational skills and the ability to handle a multitude of tasks simultaneously, to meet deadlines and to exercise independent judgment.

PRINCIPAL RESPONSIBILITIES

  • Handle all receptionist duties for the office – including welcoming and attending to clients and guests promptly and courteously, answering the phone, booking conference rooms, reserving visiting attorney offices
  • Responsible for hospitality, including ordering food, setting up and clearing out conference rooms and coordinating Friday breakfasts
  • Assist Managing Partner with facilities issues
  • Assist with supply orders
  • Assist with office event planning
  • Accept and log all incoming and outgoing FedEx, UPS and courier deliveries
  • Ensure the office is well maintained to provide a professional appearance
  • Answers and directs incoming and internal telephone calls promptly and courteously, communicating with attorneys and clients in a professional manner with discretion and confidentiality
  • Interact with attorneys and staff at all levels in a fast paced environment, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality

QUALIFICATIONS / SKILLS

  • 1-3 years prior experience in customer service or receptionist role required
  • Excellent oral communication skills, excellent organizational abilities, and strong problem solving skills required
  • Experience with Microsoft Office required, including Word, Outlook, and Excel required
  • Knowledge of phone systems preferred
  • Typing speed of 60 wpm

PHYSICAL REQUIREMENTS

  • Position is generally sedentary in nature; involves sitting most of the time, but may involve walking or standing for brief periods of time
  • Ability to occasionally or routinely lift up 10 – 20 lbs. required
  • Ability to talk and hear required
  • Ability to perform repetitive motions required
  • Ability to sit, stand and walk required
  • Ability to reach, lift, climb, balance, stoop and crouch required
  • Ability to see and read PC screens, detect color coding, read fine print, and/or normal type size print
